Your privacy matters. This policy explains what information Indie Copy Studio ("we," "us," or "Sam") collects when you visit indiecopystudio.com, how we use it, and what choices you have. We keep it simple because we don't collect more than we need.

1. Who We Are

Indie Copy Studio is a one-person writing, editing, and coaching practice operated by Samantha Pollack, based in Asheville, NC. You can reach us at:

2. What Information We Collect

We collect information in a few ways:

A. Information you give us directly

  • Your name and email address when you sign up for our email list

  • Contact information and project details when you fill out an inquiry or intake form

  • Payment information — note: payments are processed through ThriveCart, which has its own privacy policy. We do not store your credit card data.

  • Communications you send us via email or contact form 

B. Information collected automatically

When you visit our site, certain data is collected automatically by Squarespace (our website platform) and Google Analytics. This may include:

  • Pages you visit and how long you stay

  • Your general location (city/region level — we can't see your address)

  • Device type and browser

  • Referring URLs (how you found us)

  • IP address (anonymized where possible)

 We use this data to understand how people find and use our site so we can make it better. We do not sell this data or use it for advertising.

3. How We Use Your Information

We use the information we collect to:

  • Send you emails you've opted into (newsletters, launch updates, The Craft enrollment info, etc.)

  • Respond to your inquiries and manage client projects

  • Process payments and deliver services

  • Understand how our site is being used and improve it

  • Comply with legal obligations

We do not sell, rent, or trade your personal information to third parties. Full stop.

4. Email Marketing (Kit / ConvertKit)

We use Kit (formerly ConvertKit) to manage our email list and send newsletters and promotional emails. When you subscribe, your name and email are stored in Kit's platform.

 You can unsubscribe at any time by clicking the unsubscribe link at the bottom of any email, or by emailing us directly. We won't take it personally (much).

5. Cookies

Our site uses cookies — small text files stored on your device — to help our analytics tools function. Squarespace and Google Analytics both use cookies to track site visits.

You can control cookies through your browser settings. You can also opt out of Google Analytics tracking by installing the Google Analytics Opt-Out Browser Add-on (available at tools.google.com/dlpage/gaoptout).

 We don't use cookies for advertising or retargeting.

6. Third-Party Services

Our site and business operations involve the following third-party platforms, each with their own privacy policies:

ThriveCart checkout pages are hosted on ThriveCart's domain, not ours — their privacy policy governs any transactions made there.

7. Data Retention

We keep your information for as long as it's needed to provide services or as required by law. If you'd like us to delete your information, just ask.

8. Your Rights

Depending on where you live, you may have rights regarding your personal data, including the right to:

• Access the data we hold about you

• Request correction of inaccurate data

• Request deletion of your data

• Withdraw consent (e.g., unsubscribing from emails)

If you're in the EU or UK, you have additional rights under GDPR / UK GDPR, including the right to data portability and the right to lodge a complaint with your local supervisory authority.

9. Children's Privacy

Our services are intended for adults. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with their information, please contact us and we'll delete it. 

10. Changes to This Policy

We may update this policy occasionally. When we do, we'll update the "Last Updated" date at the top. If anything significant changes, we'll let our email subscribers know.

Terms & Conditions

These Terms & Conditions ("Terms") govern your use of indiecopystudio.com and any services provided by Indie Copy Studio, a brand of SKP Writing LLC, operated by Samantha Pollack ("we," "us," "Sam"). By using this website or engaging our services, you agree to these Terms.

In the event of any conflict between these Terms and a signed project agreement or Statement of Work, the project agreement or Statement of Work governs.

If something here is unclear, just ask. We'd always rather talk it through than have a misunderstanding get in the way.

1. Services Offered

Indie Copy Studio offers the following services:

• Developmental and line editing for fiction, memoir, and academic writing

• The Craft — a cohort-based writing and copywriting program

• The Remix — a collaborative copywriting service

• 1-on-1 Writing Coaching

• Copywriting and messaging consulting

The scope, deliverables, timeline, and pricing for each engagement are established in a separate project agreement, proposal, Statement of Work, or enrollment confirmation.

2. Payments

Payment terms are established at the time of engagement. The following applies to all engagements:

Deposits:

• A deposit is required to secure your place and initiate work. Work will not begin until the deposit is received.

• Deposit amounts are specified in your project agreement or enrollment confirmation.

Installment and Retainer Agreements:

• If payment is part of an installment or retainer agreement and has not been received within 10 calendar days of the invoice date, work will be paused until payment is received.

• If the final payment of an installment agreement remains unpaid, all work created under the terms of the agreement will remain assigned to and owned by SKP Writing LLC / Indie Copy Studio. We will retain ownership of all intellectual property until payment has been received in full.

Collections:

• If we have made reasonable attempts to notify you of an outstanding balance and that balance remains unpaid or partially paid, SKP Writing LLC / Indie Copy Studio reserves the right to send the client to collections for any and all outstanding payments.

• Client agrees to pay all of SKP Writing LLC / Indie Copy Studio’s reasonable collections and legal costs incurred while attempting to collect against client.

All payments are processed through ThriveCart. By making a payment, you agree to ThriveCart’s terms of service. We do not store credit card data.

3. Project Schedule and Client Responsiveness

Services will be delivered according to the timeline agreed upon via email and/or signed Statement of Work.

Client agrees to respond to communications — including requests for briefing materials, feedback, approvals, or other project-related information — within a reasonable timeframe. If a client fails to respond within 10 calendar days of a request, SKP Writing LLC / Indie Copy Studio reserves the right to postpone or cancel services.

If we choose to continue working with you instead of cancelling, client agrees to pay a $500 restart fee before work resumes.

We will communicate any unexpected changes or delays to agreed-upon deadlines as early as reasonably possible and will make all reasonable attempts to preserve the original project timeline. 

4. Refund Policy

Because our work is time- and expertise-intensive, refunds are limited. Please read this section carefully.

Deposits:

• Initial deposits are non-refundable. They secure our commitment to the project and cover preliminary administrative and preparation costs.

Installment Payments:

• Installment payments may be subject to partial refunds at the discretion of SKP Writing LLC / Indie Copy Studio, based on the proportion of the project completed at the time of the request.

• Installment plans must be completed in full regardless of whether you complete the program or project.

Final Payments:

• Final payments are non-refundable upon completion of all agreed-upon deliverables.

The Craft (cohort program):

• Full refund if you cancel more than 7 days before the program start date.

• 50% refund if you cancel within 7 days of the start date, before the first session.

• No refunds after the first session has occurred.

Refund Eligibility:

Tone, voice, style, or any other subjective aspects of delivered work do not constitute grounds for a refund. Client dissatisfaction with the final deliverable, after following the agreed-upon messaging strategy and revision process, is not eligible for a refund.

That said, SKP Writing LLC / Indie Copy Studio may, at our discretion, issue a partial refund or offer additional revisions as a gesture of goodwill. We reserve the right to consider exceptions on a case-by-case basis, particularly in instances of significant deviation from the agreed-upon strategy without client consent.

Refund Procedure:

To request a refund, submit a written request to sam@indiecopystudio.com including a detailed explanation and any relevant supporting documentation. We will review the request and may ask for additional information. Decisions will be made based on the criteria outlined in this policy and your initial agreement.

Refund Timeline:

If a refund is approved, it will be issued within 14 business days via the original payment method, unless otherwise agreed upon.

Limitations:

Refund requests cannot be considered once the final payment has been processed and the project is deemed complete. The maximum refund amount will be determined at the discretion of SKP Writing LLC / Indie Copy Studio, factoring in the extent of work completed and delivered.

5. Scope of Work and Revisions

The scope of each project is defined in your project agreement or program description. Work outside of that scope — including additional rounds of revision, expanded deliverables, or extended timelines — may be subject to additional fees.

We know scope creep happens, and we’ll always flag it before it becomes a billing surprise. Communication is everything.

6. Intellectual Property

Copywriting and content (The Remix, standalone copywriting projects):

Upon receipt of full payment, you own the final deliverables for your commercial use. Prior to full payment, all work remains the intellectual property of SKP Writing LLC / Indie Copy Studio.

Editing services:

You retain full ownership of your manuscript or written work at all times. Our editorial feedback, margin notes, and letters are provided to support your work and do not constitute co-authorship.

The Craft program content:

All course materials, recordings, frameworks, and written content created by Indie Copy Studio are proprietary. You may use what you learn to improve your own writing and business. You may not reproduce, share, or resell our course materials without written permission.

Portfolio rights:

We may use examples of our work together for our own marketing purposes. In that case, we will either request your permission to use your identity, or keep you anonymous.

7. Confidentiality

All original intellectual property you share with us will remain confidential. We will not share your project details, business information, or personal circumstances with third parties without your consent, except as required by law.

We ask for the same in return. Please don’t share proprietary course content, editorial methodologies, or other materials we’ve created with people who haven’t enrolled or engaged our services.

8. Communication

Our primary communication channels are email and scheduled video calls (via Zoom). We aim to respond to emails within 2 business days.

Async-only communication arrangements are not standard and must be agreed upon explicitly in writing prior to project start.

9. Limitation of Liability

Indie Copy Studio provides services with care and professional expertise, but we cannot guarantee specific outcomes (e.g., book deals, sales conversions, academic approval, podcast acceptances). Results depend on many factors outside our control.

To the fullest extent permitted by law, our liability is limited to the amount you paid us for the specific service in question. We are not liable for indirect, consequential, or incidental damages.

10. Termination

Either party may terminate a project engagement with written notice. In the event of termination:

• Client is responsible for payment for all work completed up to the termination date.

• We will deliver all completed work product within 10 business days of termination.

• Deposits are non-refundable for work already underway.

• If termination is due to non-payment, IP ownership terms in Section 6 apply.

11. Dispute Resolution

Any controversy or claim arising out of or relating to these Terms, or the breach of any agreement with SKP Writing LLC / Indie Copy Studio, will be settled by alternative dispute resolution (ADR) prior to any formal legal complaint. ADR includes arbitration or mediation administered by an authorized entity, such as the American Arbitration Association, in accordance with its Commercial Arbitration Rules.

Any judgment on the award rendered by the arbitrator(s) or mediator(s) may be entered in any court having jurisdiction over the Agreement and related dispute resolution proceedings.

12. Governing Law

These Terms and all matters arising under or relating to any agreement with SKP Writing LLC / Indie Copy Studio — including torts — are governed by the laws of the State of North Carolina, United States.

13. Changes to These Terms

We may update these Terms from time to time. Updates will be posted on this page with a revised effective date. For active client engagements, material changes will be communicated directly.
